Terms of Service

Last updated: 8 June 2026

These Terms of Service ("Terms") govern your access to and use of MentorBot ("MentorBot", "we", "us"), a Discord bot and web dashboard for community and coaching management. By creating an account, subscribing, or adding the MentorBot bot to a Discord server, you agree to these Terms.

1. The Service

MentorBot provides a Discord bot and an associated web dashboard offering analytics, member engagement, AI assistance, scheduling, and related features. Features available to you depend on your subscription plan. We may add, modify, or remove features over time.

2. Accounts & Eligibility

To use MentorBot you must sign in with Discord and/or create an email-and-password login, and you must be an administrator of the Discord server you connect. You are responsible for safeguarding your credentials and for all activity under your account. You must be at least 18 years old, or the age of majority in your jurisdiction, and comply with Discord's Terms of Service.

3. Subscriptions, Trials & Billing

Paid plans are billed on a recurring basis through our payment processor, Stripe. New subscriptions may include a free trial; if you do not cancel before the trial ends, you will be charged for the first billing period. Subscriptions renew automatically until cancelled. You can manage, upgrade, downgrade, or cancel your subscription at any time from the billing area of the dashboard. Except where required by law, payments are non-refundable.

4. Acceptable Use

You agree not to misuse the Service, including by: violating any law or third-party rights; sending spam or unsolicited messages; harassing, abusing, or harming others; attempting to gain unauthorised access to the Service or its systems; or using the Service to distribute malware. We may suspend or terminate access for violations.

5. Your Content

You retain ownership of the content and configuration you provide (such as your knowledge base, announcements, and settings). You grant us a limited licence to host and process that content solely to operate and provide the Service. You are responsible for ensuring you have the rights to any content you submit.

6. AI Features

Certain features use third-party AI models to generate responses based on the configuration you provide. AI output may be inaccurate or incomplete; you are responsible for reviewing it before relying on it. Do not submit content you are not permitted to share with third-party AI providers.

7. Third-Party Services

MentorBot integrates with third parties including Discord, Stripe, OpenAI, and email providers. Your use of those services is subject to their respective terms, and we are not responsible for their availability or actions.

8. Availability & Disclaimer

The Service is provided "as is" and "as available" without warranties of any kind. We do not guarantee that the Service will be uninterrupted, error-free, or secure.

9. Limitation of Liability

To the maximum extent permitted by law, MentorBot will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for loss of data, profits, or goodwill. Our total liability for any claim is limited to the amount you paid us in the twelve months preceding the claim.

10. Termination

You may stop using the Service and cancel your subscription at any time. We may suspend or terminate your access if you breach these Terms or if required to do so. Upon termination, your right to use the Service ends; certain provisions survive termination.

11. Changes to These Terms

We may update these Terms from time to time. Material changes will be reflected by updating the "Last updated" date, and continued use of the Service after changes take effect constitutes acceptance.
